Minutes of our March 3, 2005

Members present for our 6:30 pm meeting at Trinity Outpatient Center on the 3rd of March 2005 were: Tim Gibson, Mandy Gibson, Wendy Dong, Diane Kocienda, Bob Niemiec, Helen Yauger, Mike Yauger, and Ken Houck. There were 6 residents in attendance. We have another new member to our Modifications Committee and that is Frank McGovern, who was unable to attend.

The Architectural Standards that were approved by the Fox Wood Board of Directors have now been approved by Adam Smith Enterprises. DeeDee has these Architectural Standards and is getting them notarized and then they will be sent to all the Fox Wood residents in a mass mailing. Once these letters are in the hands of the residents we will be sending out letters to the residents, who have items without recorded approvals. This will be a mass undertaking, and we will need every ones help to get these letters out and mailed as well as handling the influx of Requests for Approval when they start coming back to us. The Fox Wood at Trinity Community Association, Inc. Modifications Committee is established by the Fox Wood at Trinity Community Association, Inc. Board of Directors to review proposed changes to the exterior appearance of property in Fox Wood for compliance with the covenants, deed restrictions, and architectural standards established for Trinity and Fox Wood. Homeowners are required by the deed restrictions and covenants on the title of their homes to obtain approval prior to making exterior modifications. This is done to preserve the aesthetic appeal of Fox Wood and to assist in preserving property values. The Committee meets the first Thursday of each month to review Requests for Approval and conduct other pertinent business. The meetings are open to residents and notice is posted at the gates 48 hours prior to each meeting. There is a large volume of applications, and it is necessary to review each one. Requests for Approval are received as submitted by the residents by mail, email, or fax. The Committee makes every attempt to contact the resident and review each Request within 15 days of receipt. All Requests are reviewed and decision made within 30 days. A letter confirming the decision is sent on each Request.

The guidelines for modifications and the approval process are not complicated. Hopefully, these tips can help you with just what needs to be done to complete this process.

    " Essentially, all modifications to the exterior of a home require review and approval by the Modifications Committee. If in doubt, call or submit a Request for Approval. Please refer to the Deed Restrictions and Covenants, Trinity Master Section 10.03 and Fox Wood Section 8, as amended and the published architectural standards for information.

    " Request for Approval - must be received before the Committee can review or approve your modification. Forms are available from Melrose or a Committee member.

    " Some of the items requiring prior approval include: fences, pools, spas, basketball hoops, painting or repainting, stand alone flag poles, permanent hurricane shutters, satellite dishes, landscaping, gutters, play sets, landscape lighting, solar heating, front screen doors, curbing around flowerbeds, fountains and ponds.

    " Requests are reviewed with the homeowner by a Committee member and then the Committee discusses the applications and makes their decision. A confirmation letter is sent within a few days of the meeting stating approval or why the project was not approved.

    " Residents are welcome to attend the meeting and may address the Committee after Committee business is concluded. New Requests will not be considered at the meeting since they have not been reviewed. Residents not attending the meeting may call Melrose Management two or three days after the meeting to learn of the disposition of their Request.

    " Please make sure all information and supporting documents, such as sketches, color samples and a site survey are attached to the Request for Approval or it may delay the review and approval process.

We will be sending letters requesting residents obtain approval for items where no approval records are in file. If you have added items without approval, you can do so now using the Request Form.

On Saturday February 19th we had a small group that met to go over the color palettes. Those in attendance were Mandy Gibson, Wendy Dong, and Don Latimer. We went through one book and will be getting together again to tackle the rest of the books.

Review and decisions on pending Requests for Approval:

There will be a meeting to divide the territory again with our new members, Jesse, Alan, Ken, and Frank. Tim, Mandy, and Diane will be getting together before our next meeting to draw up the territories.

Our next meeting will be at the Trinity Outpatient Center on April 7, 2005 at 6:30 pm.

The floor was opened up for the residents to ask any questions. Andy Bohemer was in attendance and was very upset concerning his fence. He wants to stain it oak. Unfortunately he left it bare wood for 3 or 4 years and the standards have changed.. He was also upset about fines. Tim tried to explain that that was Deed Restrictions problem, but he wouldn't listen. He was very upset and left yelling. Another gentleman, Sean Murray presented plans along with pictures of the areas where he wanted to make landscape changes to give his family some privacy. His request was approved pending a visit from a modifications member. Diane said that she would go by the next morning on her way to work and check it out. It was approved after her visit.

The meeting was adjourned.
